FAQs – Frequently Asked Questions

    Who does what?

General enquiries if unsure about anything > Secretary
Anything you want reviewed by the Committee (grievance, suggestion, etc) >  Secretary or President or Vice President
CPS registrations > must be signed by a Scrutineer,  all necessary pics to the Secretary

Anything to do with Event Bookings > email mhvrevents@hotmail.com or message 0412 089 242
    Financial matters > Treasurer

Who occupies these roles changes over time with elections and retirements, however the current occupants for each year are listed on the club website MHVR office bearers
You will see emails from the Secretary on a range of topics.  This does not mean the Secretary runs everything or does everything.  The Secretary role maintains the single “all member” email distribution list, so when you all need to be contacted it comes via the Secretary as the messenger.

Do I have to have an older/historic car to join?
No it’s not necessary.  Some of our members drive modern cars and have joined the club for the social connections

What runs and events does the Club do?
The club usually has two events per month at least (with January left free)  One on Wednesday and one on Sunday (other days and run styles are being put in the schedule also, to ensure broad access to events)  Normally these are to pub or restaurant lunch or coffee venues.  Picnics and BBQs are also sometimes included.  Every second month there is a usually well attended Tuesday night dinner at a pub in the region.   We also participate in regional events by supplying display and parade cars.

    Why Murrindindi residents only?
When the club was formed it was intended to be a club for people living in the region.  We did not want to be swamped by people from Melbourne, where there are plenty of other options.

    Why 3 events to enter?
To give both parties a chance to spend a little time together and make sure the Club is a good fit.  We also want to avoid being a “plate club” just joining people up to get sign off on CPS plates.  Taking the time to do the events is an indicator that you want more out of the club

What does it cost, and do I get an invoice?
$70 joining fee and $35 per annum membership.   No personalised invoices (we are a small club).  Initial payment is made after completing 3 events and with your application. You will receive email reminders when renewal fees are due.

Why 3 events to stay a member?
This is another measure to avoid being a “plate” club.  We encourage active  participation in our events, rather than just joining to register cars.  With over 30 events held during the year its not hard to get to 3.

Membership vs Member? whats the difference?

Memberships applications to the club may list an individual or a couple.  The fee is the same,  and partners are welcome to (and do) participate actively in the club.  A membership is the unit for fee paying.
Members are all the individual people registered with the Club via the application forms.  This number matters for reporting purposes to Consumer Affairs Victoria,  our insurers and to the AOMC  (the peak car club body) and is used to calculate charges to the Club.

Is the club part of the VicRoads Club Permit Scheme?
Yes , we are an approved club with VicRoads

How many permit cars can I have?
Up to you, neither VicRoads or the Club has any limit.

Can I transfer existing CPS plated cars from another club?
Yes, we have a transfer process available and forms can be downloaded from our website.

What is the process for getting a club permit?

First you have to be a member of the club

Download and complete a Permit Application and Vehicle Eligibility form (from this site or VicRoads)

Obtain a roadworthy certificate (not required for vintage cars, discuss with a Scrutineer)

Complete the 5 required photos as described in a section below (digital images preferred) and send them to the Secretary.

Arrange a meeting with a Scrutineer with all the paperwork and ensure the Secretary has received the images (expect the Scrutineer to check).

Once signed off, submit to VicRoads for registration and payment.

Once you have plates, send the Secretary a final front or rear image of the car with the plate mounted, so the club has the final registration number.

    Who can sign CPS paperwork?

Only the Scrutineers can sign off CPS paperwork.

To check who has what role at any time , check the “Contact Us” page of this website.

What pictures are required to process a new CPS permit?

VicRoads require the club to hold 5 photos of CPS plated vehicles related to the club.
The required photos are: Front,  Rear, Drivers Side, Drivers Side with door open (to show driving position) and ID number  (chassis or VIN or engine number , often on a plate in the engine bay)
For bikes Front, Rear, Side and ID number
Note:  These are basic photos for admin purposes,  we dont want fancy angles etc to make the vehicle look good.  We also are not required to have any engine bay shots. The club would like to ensure we get one front/rear photo with the CPS plates on the vehicle post registration.

What are the rules re towing with a club registered car?

There are no special rules. While using the car, the log book has to be completed as normal.

VicRoads only care that both car and caravan are registered. They don’t care what type of registration.

    “I didn’t get that email

A common response from members and prospective members when communications go astray is “I didn’t get that email. Email is a reliable end to end system. Message do not go astray or fall out of the Internet onto the floor. The sending system requires confirmation of delivery from the receiving system before it deems the message received. If it receives an error message or no response , it generates a non delivery report (NDR) to the sender. In the case of a no response it will keep trying for a couple of days before finally sending a failure NDR to the sender.

Conditions that may trigger an NDR include:

    • receivers email server or network down
    • receivers email does not exist
    • receivers email box full (for older systems with small limits)

99.9%+ of the time no NDRs ever come back, so your email has been sent and received by your email system. What happens next is entirely between you and your email provider. The most likely causes of “I didn’t get that email” are:

    • you didnt read it and it got deleted or is still in your email heap
    • it has been treated as spam and moved to your spam folder. This process is often automated and defined by the email provider.
    • you did read it but have just forgotten all about it
    • if your email requires to manually upload and download , you may not have done that for some time or that process is broken
